[3] About Gatherings
The venue will accommodate the standard number of attendees as before. Wearing masks is optional. Temperature checks and hand sanitizing will not be conducted.
For those who prefer, gatherings can be viewed from your room (guestroom) using a smartphone or other devices. Streaming information will also be provided to on-site participants, so there is no need to apply separately for online streaming.
Please prepare your own internet-enabled device (such as a computer or smartphone). Any internet connection fees incurred while viewing are your responsibility.
While the hotel offers free Wi-Fi, please note that connectivity may be unstable depending on the location or usage conditions (e.g., during high traffic).
We cannot guarantee the reliability of the hotel’s free Wi-Fi or mobile carrier networks. Thank you for your understanding.
[4] Children’s Program (CS) and Parent-Child Room
【Children’s Room】
At the Hakuba Synergoi Camp, children’s programs will be provided; however, due to venue usage constraints, the arrangements will be as follows:
The program is for elementary school children.
Children of preschool age (3 years and older) may participate only if accompanied by a parent or guardian.
The Children’s Room will be available only during the Opening Service, evening services, and the Hakuba Christian Film Festival.
It will not be available during the Early Morning Service, the Closing Service, or the Intensive Gifts-in-Practice Course. (For the Early Morning and Closing Services, parents and children may stay together in the Family Room.)
【Family Room】
A Family Room is available where parents or guardians with infants and toddlers can watch the services online via monitor.
The Family Room will be available during the Opening Service, evening services, the Hakuba Christian Film Festival, as well as the Early Morning and Closing Services.
It will not be available during the Intensive Gifts-in-Practice Course.
[5] Information for Online Participation
For those unable to attend in person, online participation is available.
Requirements for Online Participation:
Equipment: A device such as a PC or smartphone connected to the internet.
Email Address: Mandatory.
Cost:
Registration fee is required. (Separate fees apply for the various evening seminars, which are optional.)
Please note that any internet-related costs will be borne by the participant.
Available Content:
- You can watch live streams of all services, the Spiritual Gifts Intensive Workshop seminars, and the Hakuba Christian Film Festival.
In case of live stream issues, recordings will be provided instead. (Recordings will be available for two weeks after the camp.)
- The various evening seminars held after the services are primarily available in real-time only. Therefore, you cannot attend multiple seminars scheduled at the same time. Please keep this in mind.
Some seminars also provide recordings of the lectures, which can be viewed later.

[6] Camp Participation Fees
You can choose between two participation options: in-person or online.
① Registration Fee (Applicable for Both In-Person and Online Participation)
Adults: ¥5,000
Middle & High School Students: ¥3,000
Elementary School Students & Preschoolers: ¥2,000
Children Under 2: ¥1,000
*The registration fee is separate from the accommodation fee.*
The fee covers accident insurance (for in-person participants only), venue costs, equipment rental and transportation, speaker honorariums, administrative expenses, and internet costs for online streaming.
Note: The registration fee is non-refundable, even in case of cancellation. However, it can be transferred to another person.
If you cancel but later confirm your participation again, the unused registration fee can still be applied, provided it hasn’t been transferred to another person.
*All in-person participants are required to enroll in accident insurance.*
② Accommodation and Meals (For In-Person Participants Only)
Accommodation fees include room charges, meals, and usage fees for the service venues.
All participants staying at the camp are required to book their accommodation through the camp committee.
*Please refrain from making individual hotel reservations or staying at other accommodations.*
Meals:
- Breakfast and dinner are buffet-style.
- For lunch, you can choose between no lunch (self-arranged) or a provided lunch on March 5th only (curry rice and a mini salad for an additional ¥1,000).
- No discount options are available for opting out of breakfast or dinner.
Children Under 2: Accommodation is free. However, if lunch is chosen, an additional ¥1,000 will be charged for the meal. Participation registration and accident insurance enrollment are still required.

Shared rooms are only available for the 4+ people per room option.
The 2-3 people per room option is available only for families or groups of friends. If you wish to select this option, please arrange your group in advance and apply together.
For partial participation or any cases not covered above, please contact the organizing committee.
[7] Room Assignment, Early Check-In, and Late Check-Out
Room Assignment:
The standard room accommodates four people, with a maximum capacity of five. There are also seven-person rooms available, suitable for families.
Please inform us of your room preferences at the time of application. Note that we may not always be able to accommodate your requests.
If you wish to change your room preferences after applying, please do so by Wednesday, February 25. Requests for changes made after this date may not be accommodated.
Early Check-In/Late Check-Out:
If you wish to request early check-in or late check-out, an additional fee of ¥2,000 per hour per room (tax included) will apply. Half-hour increments are also available. Advance reservations are required. However, availability depends on the number of rooms the hotel can accommodate and the usage of rooms before and after your stay. Please note that it may not always be possible to fulfill your request.
Non-Smoking Policy:
All hotel rooms are non-smoking, including electronic cigarettes, as their odor can linger.
Smoking in rooms may result in the room being unusable the next day or requiring odor removal measures. This may inconvenience the hotel and lead to additional cleaning fees being charged to you. We kindly ask you to strictly adhere to the non-smoking policy.
[8] Application and Payment Process
① Application
For both in-person and online participation, please apply via the **Camp Participation Application Form**.
Email Address:
The email address you provide will be used for important communications regarding the camp (e.g., room assignments, meal times, and other updates).
Ensure that you register an email address you can check regularly during the camp. For families, if each member has an individual email address, please register them separately if possible.
Assistance with the Form:
If filling out the form is difficult, we can assist you by phone or handle the registration for you. Contact us at **03-5327-5612 (closed on Thursdays)**.
Even for phone applications, an individual email address is generally required. Once the form is completed by the organizing committee, a confirmation email will be sent to the registered email address.
② Payment of Registration Fee
You may also pay for the accommodation fee simultaneously with the registration fee.
③ Payment Confirmation
Once your payment is complete, submit your payment details using the **Payment Confirmation Form**.
You will need the **Application Receipt Number** provided in the auto-reply email from the Camp Participation Application Form.
Your registration is finalized only after completing the following three steps:
1. Submission of the Camp Participation Application Form.
2. Payment of the registration fee.
3. Submission of the Payment Confirmation Form (including the payment details).

Late Payments:
If you cannot transfer the accommodation fee by February 26, you must notify us by that date. Failure to notify us by February 25 and not making the payment will result in your accommodation being automatically canceled (cancellation fees apply), and your participation will be changed to online.
Other Fees:

These will be collected on-site. After arriving at the hotel, please visit the camp's payment desk located in the lobby near the front desk.

[9] Application Deadlines
For In-Person Participation (*Note 1*)
Application Deadline: Tuesday, February 24, 2026 (*Notes 1, 3*)
Note 1: The hotel is not fully reserved for the camp. If the reserved rooms reach full capacity due to high demand and additional rooms cannot be secured, the deadline may close earlier than February 18. Please be aware of this possibility. (If cancellations occur after the rooms are fully booked, additional applications may be accepted.)
For Online Participation (*Note 2*)
Application Deadline: Tuesday, March 3, 2026** (*Notes 2, 3, 4*)
*Note 2:* This deadline is set to allow time for connection testing prior to the camp.

For both in-person and online participation, registration via the form and payment of the registration fee must be completed by the respective deadlines:
- In-person: February 24, 2026
- Online: March 3, 2026
Incomplete registration or payment will not be considered finalized, and room reservations cannot be guaranteed.
Note 4:
If payment for online participation is received after the deadline (February 25, 2026, or later), your participation will be converted to access only to the archived content available after the camp. Please note this in advance.
Additionally, if payment is not confirmed by Sunday, March 15, 2026, your registration will be treated as canceled.
[10] Cancellation Fees for Accommodation
If you have reserved accommodations but will not be staying, please notify us promptly.
Cancellation fees will apply for accommodations canceled on or after Tuesday, February 24.
(If you reduce your stay from two nights to one, cancellation fees will apply for the canceled night.)
Until Monday, February 23: No cancellation fees for accommodations. However, the registration fee is non-refundable. It can be applied toward online participation or transferred to another person.

[11] About Accident Insurance
All in-site participants will be covered by accident insurance. The insurance premium is included in the registration fee. The coverage details are as follows:
Coverage for injuries caused by accidents during the trip.
Coverage for liability compensation if you injure someone or damage someone else's property during the trip. Coverage from the time you leave your home for the purpose of participating in the camp until you return home (from 0:00 on the first day of camp participation to 24:00 on the last day of participation).

[12] Submission of Parental Consent Form
(For participants under 18 years old attending alone)
If you are under 18 years old at the time of application and will be attending the event without an accompanying adult guardian, parent, or relative, please ensure that an adult delegated by your guardian (preferably someone who can share a room with you) accompanies you.
Additionally, you are required to submit a consent form signed by your guardian or parent. Please review the application guidelines, sign the consent form (attached separately), and send it via fax, email with an image attachment, or postal mail.
[13] Notice Regarding COVID-19 Measures During Hakuba Synergoi Camp
To ensure that all participants can enjoy the Hakuba Synergoi Camp safely, we will implement the following measures. We appreciate your understanding and cooperation.
Please refrain from attending the camp if you:
- Have tested positive for COVID-19.
*If you fall under the above category, please promptly contact the Hakuba Camp Executive Committee.
If you have a fever, please confirm that it is not due to COVID-19 or influenza before participating.
Requests for Participation at the Assembly Venue:
- Temperature checks will not be conducted at the entrance of the assembly venue. Wearing a mask is at your discretion.
- If you have symptoms such as a fever, please participate online from your room.

[14] Others
Regarding English Interpretation:
For those participating on-site, English interpretation (using earphones) will be available. If you wish to have English interpretation for the broadcast, please indicate this in the remarks section when you apply. It is also possible to request this after applying by contacting us through the inquiry form.
Regarding Day Participation:
For those participating on-site for the day, please do not enter the hotel accommodation floors (3rd floor and above), except for those using the paid day-use bath on the 3rd floor. Additionally, day participants can also have meals for a fee (please indicate this in the remarks section when you apply). Please do not enter the 2nd floor restaurant (Alps) if you have not applied for meals (for a fee).
[15] Participation Requirements
This camp is open to everyone, but participation requires agreement to the policies and requests of the Hakuba Camp Executive Committee to ensure safety and order during the camp.
- As this is a Christian camp, alcohol and smoking are prohibited, including electronic cigarettes.
- Accommodation rooms cannot be shared with members of the opposite sex, except for family members or relatives (infants are excluded).
- Additional requests may be made as necessary.
