Frequently Asked Questions
Confirmation Emails for Various Application Forms
When you apply through various forms, a confirmation email will be sent to you. If you are using a free email address (e.g., Yahoo, Gmail), it may be categorized as spam. Please check your spam folder first.
Q: I applied for the Hakuba Synergoi Camp but have not received the "Hakuba Synergoi Camp Application Confirmation."
- 1. Input error in the registered email address: If there is an error, such as duplicate "@" symbols, we will correct it and resend the confirmation email. If the correct email address cannot be determined, we will contact the registered phone number.
- 2. Non-delivery due to spam filters or receiving restrictions: Please add HakubaCamp@tlea.tokyoantioch.com to your allowed senders list and request the confirmation email to be resent via the contact form.
First, consider case 1 and wait 2-3 days. If no email is resent, check case 2 and contact us via the contact form.
Q: I applied for the Tokyo Antioch Bus but have not received the "Bus Application Confirmation."
It is possible that your application was not completed. As seating is limited, please contact us promptly via the inquiry form.
Q: I applied for skiing, snowboarding, or various seminars but have not received the application receipt email.
If there is a transmission error, it may be due to differences in the "application receipt number" or the "first/last name" provided. We will verify and correct the issue before resending the email. Please wait 2-3 days. If you still do not receive an email, contact us via the inquiry form.
Q: I emailed HakubaCamp@tlea.tokyoantioch.com but did not receive a reply.
That address is primarily for sending emails. For questions, please use the inquiry form.
Hakuba Camp Applications and Changes
Q: What is the application deadline?
The application deadline is February 18, 2025, for on-site participation, and February 25, 2025, for online participation. Please apply by the deadline.
Note: For on-site participation, if the number of applications exceeds the available rooms, applications may close before February 18. Thank you for your understanding.
Q: I want to change from online participation to on-site accommodation. Should I reapply through the application form?
Please contact us via the inquiry form and select "Regarding change of application plan" for details on on-site accommodation. Do not reapply through the application form to avoid duplicate registrations.
Access
Q: I will arrive at JR Minami-Otari Station by train. Is there a shuttle service to the hotel?
The hotel provides a shuttle bus. No reservation is required. Detailed times are as follows:
- To the hotel: 8:30, 10:00, 12:10, 13:30, 14:35, 16:25, 18:00, 19:05, 21:20
- To Minami-Otari Station: 9:20, 11:30, 14:00, 15:00, 15:50, 17:20, 18:30, 20:35
The journey takes approximately 20 minutes, but delays may occur due to road conditions. For details, visit the Hotel Green Plaza Hakuba site.
Accommodation and Meals
Q: Can I request shared rooms for 2-3 people as a solo participant?
Shared rooms are available for groups of four or more. For 2-3 people, please apply as a group of family or friends.
Q: What are the check-in and check-out times?
Check-in: 3:00 PM. Please collect your room key at the front desk.
Check-out: 10:00 AM.
Q: Are early check-in or late check-out options available?
Available for an additional fee of 2,000 yen per hour (including tax), in 30-minute increments. Please request at the time of application or by February 19, 2025, via the inquiry form.
Note: Availability is limited by room availability before and after your stay.
Q: What type of rooms are available?
- Standard Room (Japanese-Western style): Sleeps 5. 2 beds + 8 tatami mats.
- Standard Room (Maisonette): Sleeps 7. 2 beds + 1 extra bed + 8 tatami mats upstairs. Internal stairs included, with an alternative entrance from the lower floor.

Q: What meals are available?
- Breakfast: Japanese-Western buffet.
- Dinner: Japanese, Western, Chinese, and dessert buffet.
Lunch is available as an optional curry rice set for 1,000 yen. For self-arranged lunch, visit the hotel’s restaurants.
Q: Are there accommodations for food allergies?
The restaurant provides allergen labels for the dinner buffet. Details can be found on the Hotel Green Plaza Hakuba site.
Payment and Cancellation Fees
Q: When is the payment deadline?
Please transfer the full amount by February 14, 2025. If payment will be delayed, notify us via the inquiry form by February 14.
Q: When do cancellation fees apply?
No cancellation fees apply until January 27, 2025. From January 28, cancellation fees will apply. Registration fees are non-refundable and will be applied to online participation registration.
Q: Is it mandatory to submit the payment completion notification form?
Yes, all participants are required to submit this form.
Changes to Personal Information
Q: I entered incorrect personal information during registration. How can I correct it?
Please contact us via the inquiry form and select "Regarding changes to personal information."
Q: What should I do if my contact information changes after registration?
Please update your information via the inquiry form and select "Regarding changes to personal information."
Online Streaming
Q: Can I watch the camp sessions without registering?
Camp session videos are not available for free. Online participation registration is required to view them.
Q: As an on-site participant, can I view the online streaming sessions?
All on-site participants can access all streamed videos without additional registration.
Q: Can I watch recorded sessions due to time differences or work commitments?
Yes, recorded sessions will be available for two weeks after the camp concludes.
