Hakuba Camp is open to everyone.
Please review the following information and submit your application to participate.


【1】Date, Venue, Accommodation, Access

We will be streaming all gatherings live on the internet. (These archives will be available for viewing, except for some events such as various seminars.)

*Please note that camp gatherings will not be available for free streaming. Only those who have registered for the camp will be able to view them.

【3】Recreation and Various Seminars

You are welcome to participate in the recreational activities at your leisure.
Fees will be paid individually (payable on the day).

After signing up for the camp, please pre-register using the application form on the recreation page of the Hakuba Camp website. (You can cancel them at a later date.)

【4】Regarding Our Gatherings

The venue will operate at its usual capacity. Wearing a mask is up to each individual’s discretion. Temperature checks and sanitization will not be conducted.

For those who prefer, it is possible to participate online from your room (guest room). All attendees, including those participating on-site, will have access to the online broadcast.

For example, those attending this camp can watch the pre camp gatherings via the broadcast. There is no need to apply separately for the online broadcast, but any data charges incurred while watching will be the responsibility of each individual. Although the hotel offers free Wi-Fi, it may be difficult to connect in some locations or during peak usage times.

CS (Children's Program), Parent -Child Room

At CS (Location: Cortina 3), activities are intended for elementary school children. For preschool children (ages 3 and up) who wish to participate in CS, a parent or guardian must accompany them.

Additionally, there is a room (Cortina 2) where preschool children and their parents can watch the services online via a monitor. For babies (ages 2 and under) and their parents, there is a parent-child room with a monitor (Hakuba).

There will be no CS during the early morning services. Preschool children can stay in the parent-child room (Hakuba) with their parents.

For elementary school children, please consult with the staff in charge of the middle and high school group.


【5】HAKUBA WORLD GOSPEL FESTIVAL 2024

During the camp, the HAKUBA WORLD GOSPEL FESTIVAL 2024 will be held. Admission is free. There will also be a live broadcast on the day of the event. Camp participants can watch the archive as well.

Please note that only elementary school students and older are allowed to watch from the seats inside the hall. Parents with babies and toddlers are welcome to watch together in the family room.

For those who come by JR or have no means of transportation to the venue, there is a free shuttle service provided by the hotel. (Registration for the shuttle with the organizing committee is required. Further information will be provided separately.)

Participants attending the camp by private car or chartered bus are requested to use their own transportation.


【6】Information on Online Participation

You can also participate online.
The conditions for online participation are as follows:

- You can watch all the services and the HAKUBA WORLD GOSPEL FESTIVAL live. In case of live streaming issues, these archives will be available. (These archives are available for two weeks after the camp.)

- You can take part in various seminars after night conference. As a general rule, you can participate only online.

Therefore you aren't able to take multiple seminars at the same time due to them being held in paralle.

There are some seminars that you can see on the archives by the instructors.

For details, please check the information about the seminars to be announced later.

What needs to be prepared: Your internet connected smartphone or computer, email address (required).

Fees: Participation fee (You need to pay seminar's fee. They will be held after night conference). Please note that you will be responsible for any internet connection fees.

Applications for "Online Participation – Join online –" close on Friday, July 12th.


【7】Costs

7.1. Application Fee (on-site or online in common)

Adult 5,000 yen
Junior and high school students 3,000 yen
Elementary students and children 2,000 yen
Children under two years old 1,000 yen

* All on-site participants take accident insurance.

The participation registration fee is separate from the accommodation fee. The registration fee will be used for accident insurance (for on-site participants only), venue and setup costs, equipment rental and transportation fees, communication costs, honorarium for speakers, and internet connection fees for online streaming.

Please note that the registration fee is non-refundable even in case of cancellation. However, you can transfer your registration to another person.

Additionally, if you cancel your on-site accommodation participation (except when transferring to another person), your participation registration fee will automatically be converted to an online participation registration fee.


7.2. Accommodation Fee and Meals (on-site participation only)

The accommodation fee will be paid to the hotel in full including room, meals and meeting place fees. All those who participate in the camp must apply for accommodation through the camp committee. Please refrain from participating in other accomodations.

When using one room for 1 to 3 people, a surcharge will be applied based on the number of occupants. The prices listed below include the surcharge. The accommodation fee for elementary school students is 70% of the adult rate, excluding the hot spring tax, and the fee for infants is 50% of the adult rate, excluding the hot spring tax.

Children aged 2 years and under stay free of charge. However, as they will be covered by insurance, it is necessary to register their participation. Since children aged 2 years and under stay free of charge, they are not counted towards the room occupancy. Even if you request a shared room for four or more people, if the number of participants does not reach the required minimum, a surcharge for three or fewer occupants may apply. Thank you for your understanding.

If you have any requests such as partial participation, please contact the Hakuba committee. Additionally, even for partial participation, meals will be provided according to the schedule mentioned above. Please note that during the camp period, the Hotel restaurant "Lyrical" will be closed.


Room assignments, Early check-in, and Late check-out

Room Assignments

If you have any requests for group rooming or sharing the same room, please inform us through the application form at the time of your application. If you want to change your room assignment after applying, it will be available until Monday, July 8. We appreciate your understanding.

The rooms are primarily Japanese-Western style (2 beds + 8 tatami mats) for four people. There are also maisonette-type rooms for seven people (lower floor: 2 beds + 1 extra bed; upper floor: 8 tatami mat room). The seven-person rooms have an internal staircase, but some have an entrance on the lower floor. An additional charge applies if 1 to 3 people use a room designed for more occupants. (The accommodation fee table in 【7】 Costs includes these extra charges.) For rooms with 2 to 3 people, please apply as a family or a group of friends.

For those who want to share a room with others, only rooms with four or more people are available. If there are not enough people to form a group of four or more, additional charges for rooms with three or fewer people may apply.

Please note that children aged 2 and under, who stay for free, are not counted towards the room occupancy. Only the number of people paying for accommodation is considered. For example, in a family of four with one child aged 2 or under, the accommodation fee will be for a room with three occupants.


Early check-in and Late check-out

If you want to request early check-in or late check-out, please apply at the time of registration.

There is an additional charge of 2,000 yen (tax included) per hour per room, which can be set in 30-minute increments. If you want to request this later, it will be available two weeks before the camp (until Tuesday, July 2). Please note that the number of rooms available for this service is limited, and we may not be able to accommodate your request depending on the occupancy before and after your stay. We appreciate your understanding.


【9】How to Apply and Payment Information

9.1. Please apply using the camp on-site participation or online participation application form.

The application deadline for on-site participation is Monday, July 8.

APPLICATION FORM

Once you complete the application process, a reservation confirmation email will be sent to your registered email address. Please ensure that you can receive emails from hakubacamp@tlea.tokyoantioch.com. If you do not receive the reservation confirmation email, please contact us via the inquiry form.

*The email address you provide will be used for various notifications necessary for camp participation (such as room number, meal times, etc.), so please register an address that you can check regularly during the camp. If you have individual email addresses, even within a family, please register each address separately if possible.

If online application is difficult for you, we can assist you with the input or handle the application on your behalf over the phone. Please call 03-5327-5612 (closed on Thursdays). In this case, you will also need to provide your own email address.

*Even if you apply by phone, the Executive Committee will enter and register your information on the online application site. Once the information is entered, a confirmation email will be sent to your registered email address.


2. Please make the registration fee payment by bank transfer. (It is also possible to transfer accommodation fees along with the registration fee.)


3. Please use the "Payment Confirmation Form" to inform us of the transfer details once the transfer is completed.

Please provide us with the details of your transfer. We will need the ID provided in the reply email from the camp participation application form.

Completing the online application, making the registration fee payment, and providing confirmation of the transfer (confirmation of payment details) together constitute formal registration.

Please note that completing the online application process alone does not constitute formal registration until the registration fee payment has been confirmed.

4. Please make the payment for accommodation fees.

The same account mentioned above is also used for accommodation fee payments.

Please make the full payment for accommodation fees by July 2nd (Tuesday). If the transfer is scheduled to be made after July 2nd (Tuesday), please be sure to inform us of the expected transfer date. If we do not receive notification and the accommodation fee is not transferred, we will consider it as a cancellation.


【10】Application Deadline

** On-site Participation **

Application Deadline: Monday, July 8, 2024 ※2

※1 Regarding on-site participation, although it is reserved, due to arrangements for hotel food procurement, the deadline is one week prior. After that, we can accommodate small fluctuations in numbers. However, last-minute significant increases in numbers may not be manageable by the hotel, so please apply by the deadline.

** Online Participation **

Application Deadline: Friday, July 12, 2024 ※2

※2 For both on-site and online participation, it is necessary to complete the registration via the form and make the payment of the participation fee by the deadline mentioned above. Either one alone will not be accepted, so please be sure to comply with this requirement.

Please note that for online participation, if the payment of the participation fee is made after the deadline (after July 13th, Saturday), participation will not be in real-time but rather in the form of viewing a recorded version after the camp concludes. Kindly be aware of this in advance.


【11】Cancellation Fee for Accommodation Costs

If you have applied for on-site participation but will not be attending in person, please be sure to contact us.

Cancellation fees will be applicable for cancellations made on or after Tuesday, July 9th.

Cancellations made before Monday, July 8th, will not incur any cancellation fees for accommodation costs. However, please note that the participation fee is non-refundable. For online participation, the registration fee will be automatically transferred.

Please note that if the number of nights for your stay is reduced, such as changing from a 2-night, 3-day stay to a 1-night, 2-day stay, partial cancellation fees may apply.

Cancellations between Tuesday, July 9th,
and Saturday, July 13th, will incur cancellation fees.
A cancellation fee of 25% of the accommodation cost will apply.
Cancellations on Sunday, July 14th, will not incur any cancellation fees for accommodation. A cancellation fee of 50% of the accommodation cost will apply.
Cancellations on or after Monday, July 15th, will incur cancellation fees. A cancellation fee of 70% of the accommodation cost will apply.
If you fail to arrive without prior notice,
the full accommodation cost will be charged as a no-show fee.
A no-show fee of 100% of the accommodation cost will be charged.

* If the guest cancels their stay due to testing positive for COVID-19 or influenza, no cancellation fees will be charged. Please contact us promptly.

* In the event of a refund due to accommodation cancellation, the transfer fees associated with the refund will be borne by the guest.


【12】Regarding Injury Insurance

All participants attending the camp on-site will be covered by injury insurance. The insurance premium is included in the participation fee. The coverage details are as follows:

Compensation Details

- Compensation for injuries caused by accidents during the trip.
- Compensation for damages if you cause injury to others or damage others' property due to accidents during the trip.
- Coverage from the departure from your home with the purpose of attending the camp (starting from midnight on the first day of camp participation) until returning to your home (ending at midnight on the last day of participation).

Insurance Coverage

- Death or disability: 6.69 million yen
- Hospitalization daily benefit: 10,000 yen
- Outpatient daily benefit: 4,140 yen
- Liability: 10 million yen


【13】Submission of Parental Consent Form (Only for participants under 18 years old attending on-site)

If you are under 18 years old at the time of application and will be attending on-site without the presence of an adult guardian or relative, we kindly request that you are accompanied by an adult designated by your guardian (ideally someone who can share the same room). Additionally, as part of your participation, we require a consent form from your guardian. Please review the recruitment guidelines, sign the consent form (attached separately), and send it to us via fax, email with attached image, or by mail.


【14】Information on COVID-19 and Influenza Prevention Measures during the Hakuba Camp

To ensure that all participants at the Hakuba Camp can enjoy their time with peace of mind, we will be implementing the following measures. Your understanding and cooperation are greatly appreciated.


Please refrain from attending the camp if you fall under the following criteria:

- Individuals who have tested positive for COVID-19 or influenza.

* If you meet the above criteria, please promptly contact the Hakuba Camp Committee.
If you have a fever, please ensure that it is not due to COVID-19 or influenza before attending.

[Regarding Gatherings]

For this year's Hakuba Camp, we will be returning the capacity of the assembly hall to its previous limit. Additionally, those who prefer can participate online from their rooms.

* When viewing from your room, there is no need to separately apply for online streaming. However, please prepare an internet-connected device (such as a computer or smartphone) on your own. Please note that each individual will be responsible for their own internet connection fees. Also, we cannot guarantee the availability of the hotel's free Wi-Fi or the communication environment provided by mobile carriers, so please be aware of this in advance.

Request for Participants at the Assembly Hall

- Temperature checks will not be conducted at the entrance of the assembly hall. The wearing of masks is at the discretion of each individual.
- If you have symptoms such as fever, please participate online from your room.

【15】Miscellaneous

Regarding English Interpretation

For on-site participation, English interpretation (via headphones) will be available. If you wish to have English interpretation during the online broadcast, please contact us through the inquiry form.

Regarding Day Trip Participation

For those participating in day trips on-site, please refrain from entering the hotel accommodation floors (3rd floor and above). However, access to the 3rd-floor public bath is permitted for those using the paid day-use bathing facilities. Additionally, please avoid entering the 2nd-floor restaurant (Alps) if you have not ordered a meal (which is available for a fee).


【16】Participation Requirements

While our camp welcomes participants of all backgrounds, to ensure the safety and orderliness of everyone during the camp, it is a requirement to agree to the requests from the Hakuba Camp Organizing Committee. (As this is a Christian camp, alcohol and smoking are prohibited. Additionally, accommodation rooms cannot be shared with individuals of the opposite sex unless they are family members or relatives, with infants and young children being exceptions.)
