Confirmation Emails for Application Forms


When you submit an application via any of our forms, a confirmation email will be sent to you. Please note that free email services (such as Yahoo or Gmail) may filter our emails into your spam folder. Be sure to check your spam folder first.

Q. I applied for the Hakuba Camp, but haven’t received the “Hakuba Camp Application Confirmation”.

[1] Email Delivery Error Due to Incorrect Address Input
If there was a basic mistake in the email address, we will correct it and resend the confirmation. If we cannot identify your correct address, we will contact you via the registered phone number.

[2] Email Filtering or Blocking
Please add the following sender to your allowed list:
Hakuba Camp (Sending Only) [registration_hakubacamp@tlea.tokyoantioch.com]
Then request a resend via the contact form.

First, please wait 2–3 days assuming case
[1]. If the confirmation email still does not arrive, check case
[2] and contact us via the form.

Q. I applied for the Tokyo Antioch Bus, but have not received the “Bus Application Confirmation”.

It’s possible that your application was not completed. Seats are limited, so please contact us as soon as possible via the form.

Q. I applied for recreation or a seminar, but did not receive a confirmation email.

This may be due to input errors such as a wrong registration number or incorrect name (last or first). We will investigate and resend after correction. Please wait 2–3 days. If no email arrives after that, contact us using the form.

Q. I sent an email to “[registration_hakubacamp@tlea.tokyoantioch.com” but received no reply.

That email address is for sending only. For any inquiries, please use the contact form.



Application and Changes for Hakuba Camp

Q. What is the application deadline?

* On-site participation: Applications close on Monday, July 7, 2025. Please note that due to limited room availability, applications may close earlier.

* Online participation: Applications close on Friday, July 11, 2025.

Ensure both form submission and payment are completed by the respective deadlines. Please refer to the application guidelines for details.

Q. I want to switch from online to on-site participation. Should I apply again using the form?

No. Please do not submit the form again. Instead, select "Change of Participation Plan" from the contact form and let us know your updated preference.



Access

Q. I will arrive at JR Minami-Otari Station by train. Is there a shuttle to the hotel?

Yes, there is a hotel shuttle bus service.

* Advance registration is required.
* You must register through the Hakuba Camp Executive Committee via the application form. (You cannot make a reservation through the hotel website or call center.)

Shuttle Bus Timetable (To Hotel from Minami-Otari Station):
10:00 / 12:05* / 13:25* / 14:40 / 16:20* / 17:55 / 19:05

* Regular: approx. 15 min
* *Marked times: via Tsugaike, approx. 25 min (unless no passengers for Tsugaike)

Return (From Hotel to Minami-Otari Station):
9:30* / 11:40 / 14:20 / 15:55 / 17:30 / 18:30

* Same travel time notes apply.

Please note: Even if listed on the timetable, a bus will not operate if no passengers are registered for that time.



Rooms and Meals

Q. I’m attending alone. Can I share a room with 1 or 2 others?

Shared rooms are available for rooms of 4 or more people only.
Rooms for 2 or 3 persons are only for family or friend groups registering together.

Q. What time is check-in?

Check-in starts at 3:00 PM.
Please receive your room key at the front desk at that time.

Q. What time is check-out?

Check-out is at 10:00 AM.

Q. Are early check-in and late check-out available?

Yes. You can apply in 30-minute increments at ¥2,000 per hour (tax included).
Please apply using the form at the time of camp registration.
If applying later, please submit your request via the contact form by Tuesday, July 1, 2025.

Note: Availability is limited and may depend on room usage before and after your stay.

Q. When will I know if early check-in or late check-out is approved?

You will be notified approximately one week before the camp.

Q. What are the room types?

* Standard Japanese-Western Room (up to 5 people): 2 beds + 8 tatami mat space
* Standard Maisonette Room (up to 7 people): 2 beds + 1 extra bed + 8 tatami mat room upstairs
Includes stairs inside the room. External access to the upper level is also available.

Q. What meals are provided?

* Breakfast: Japanese & Western buffet
* Dinner: Japanese, Western, Chinese, and dessert buffet
* Lunch: Bento (boxed meal) and tea
*Children under 2 years old do not receive a bento.

Q. Are there accommodations for food allergies?

Accommodation Payment and Cancellation

Q. What is the deadline for accommodation fee payment?

Please complete payment by Monday, July 7, 2025.
If paying after July 8 (Tuesday), you must notify us via the contact form.

Q. When do cancellation fees apply?

* No cancellation fee if canceled by July 7 (Monday).
* Fees apply from July 8 (Tuesday) onward.
Please see the guidelines for detailed rates.

Note: Participation registration fees are non-refundable and will be transferred to the online participation fee if you cancel.

Q. Do I need to submit the payment confirmation form?

Yes. All participants are required to submit the payment confirmation form.

Q. I transferred the wrong amount.

Please notify us via the payment confirmation form.



Changes to Personal Information

Q. I entered incorrect personal information (phone number, birthdate, etc.) when I applied. What should I do?

Please use the contact form and select "Change of Personal Information" to submit the correct information.

Q. My email, phone number, or address has changed after applying. What should I do?

Please update us with the new information via the contact form under "Change of Personal Information".



Online Streaming

Q. Can I watch the camp sessions without applying?

No. Streaming of camp sessions is not available for free.
To watch, please register for online participation.

Q. I will attend on-site. Do I still need to register separately for streaming?

No. On-site participants will have full access to the streaming content. No separate online registration is needed.

Q. I won’t be able to watch live due to work or time zone differences. Can I watch recordings?

Yes. Recordings will be available for two weeks after the camp.
